Bitrix24 for Medical Clinics: How to Cut No-Shows from 30% to 5%

The Solution: An Automated Reminder Cycle

In Bitrix24, we configure a deal = an appointment booking. At each stage, an automated action engages the patient via WhatsApp.

Immediately After Booking

The patient receives a confirmation: "Hello, [name]! You are booked with Dr. [name] on [date] at [time]. Address: [...]. If you need to reschedule, message us in this chat and we will help. The [clinic] team."

24 Hours Before the Appointment

"Tomorrow at [time] you have an appointment with [doctor]. Please confirm: [I'll be there] / [Reschedule] / [Cancel]." The buttons in WhatsApp work as quick replies.

2 Hours Before the Appointment

"We look forward to seeing you at the clinic in 2 hours. See you soon!" Psychologically, this is the final trigger; the patient will no longer forget.

If the Patient Doesn't Show Up

Thirty minutes after the scheduled time, if the appointment is not marked as "arrived": "We were expecting you. Did something come up? We'll call you back in 5 minutes to check in. If you need help, we're here." This recovers 20-30% of "forgetful" patients.

The Recurring Appointment Cycle

Dentistry: a cleaning every six months. Therapist: a preventive check-up once a year. Endocrinologist: a follow-up in three months. Each such event is a separate scheduling deal in the "Recurring Appointments" pipeline.

A robot checks the date of the next appointment and, 14 days before it, sends a WhatsApp message: "[Name], in early June it will have been six months since your last cleaning. Would you like to book a convenient time? Available slots: [list from the calendar]." The patient clicks, the booking is created in Bitrix24, and it becomes visible to the front desk.

NPS and Managing Reviews

24 hours after the appointment, a short survey is sent: "Rate your visit from 1 to 10." The outcome:

  • Score 9-10 -> "Thank you! If it's not too much trouble, please leave a review on 2GIS," with a direct link. Review conversion is about 30%.
  • Score 7-8 -> a task is assigned to the administrator to reach out: "What could we improve?" This helps identify weak spots.
  • Score 1-6 -> an urgent notification to the manager. A call to the patient within an hour.
